Minutes: The Access Services Committee met on 5/16/06. In attendance: Linda Miller, Xin Li, Barbara Berger Eden, Jesse Koennecke, Cammie Hoffmier, Janet Gillespie, Carmen Blankinship, Jim LeBlanc, Margaret Nichols and Joanne Leary
Annual Statistics Linda Miller distributed a summary of the data being collected for the CUL Annual Statistics that are related to access services. Linda explained the "ownership" approach for statistics collection and asked the AS Committee to review the specified tables and to decide if the data being collected is still relevant and appropriate for the library's needs.
Proposed public services cluster tables are:
- Table 7a.1: Circulation & renewals, by owning library
- Table 7a.2: Circulation & renewals, by owning library (non-equipment, breaking out reserves)
- Table 7b: Electronic reserves
- Table 7c: Enhanced returns
- Table 7d: Library-to-library Delivery
- Table 7e: MyDocument Delivery
- Table 8b: Electronic services statistics
- Table 9: Reference services
- Table 10: User instruction
- Table 11: Interlibrary lending & borrowing
- Table 17: Access, Facilities -- gate counts, number of staffed service points, user seat
Questions to consider are: - for what purpose is the data being collected? - is the data required for internal or external purposes? - should we be measuring trends? - are there other measures we should capture that are not represented here? - what manual counts are needed? The group agreed to make recommendations to PSEC before the next ASC meeting in mid-June. Barbara, Jesse, Carmen and Janet will form a subgroup to answer the questions about manual counts.
Circulation Statistics of Harris and Area Collections The retrospective conversion of the Harris and Area Collections was recently completed at the conclusion of a 4-year project. The materials are housed at the Annex, and are now fully visible and searchable in the catalog. Jim asked if it were possible to obtain circulation figures for the collection since the conversion. Cammie noted that the items are not distinguishable from other Olin Annex materials (except perhaps by call number) and so would be difficult to select for capturing circulation statistics. However, in her observation, items from the collections are being requested with greater frequency and that visibility has made a difference.
Integration of Library Services with Blackboard Jesse reported on the efforts of the Blackboard integration team, which is charged with incorporating library tools and services as links within course web sites hosted on Blackboard. The following features will be available for the Fall semester: links to the Library Gateway and Ask a Librarian from the left-hand navigation area of the course site, and a link to RefWorks. Links to library course reserves will come at a later date.
Copyright and Reserve Carmen reported on developing issues with copyright and electronic course reserve. Peter Hirtle sent an email on April 24 about copyright compliance guidelines and unit responsibilities. Reserve staff met ad-hoc to discuss this information, as it differed in some significant ways from what was previously understood. In order to clarify and answer important questions as soon as possible, Carmen and Joanne will coordinate a Reserves and Copyright workshop for the next Access Services Open Forum meeting (scheduled for May 23, 2006). Peter has been invited to attend the workshop and answer questions that have been raised by supervisors. Carmen and Joanne agreed to prepare the questions (summarized from the concerns distributed on Circadmin-l) and to distribute them to Peter. The Committee agreed that Peter should be asked to write a letter to the faculty explaining copyright guidelines for reproduced materials, with particular emphasis on repeat use, use of course packs and use of multiple copies. The letter should include a statement about payment of copyright fees. The group agreed that instruction sessions should be offered to teach faculty and instructors how to use the ERMS utility in selecting their materials for electronic reserve. The library will amend the online and paper submission forms to comply with the revised procedures.
Term of Service on Access Services Committee PSEC made a recent decision to make July 1 as the unified starting date for the 2-year committee member terms. Because the ASC was created last summer, no new appointment is needed until July 2007.
