Minutes:

1) Demonstration on the Statistics Gathering Tool (with guest Gaby Castro Gessner)

· Gaby reviewed the charge from PSEC

o Same core set of statistics collected at each library including reference desks, circulation desks, libit-l and libgateway-l, and selectors. 12 weeks per year, chosen randomly. To include the following information per transaction: date; day of week; time of day; length of transaction (<5, 5-15, >15); mode (in person, email, phone, chat, other); technology-related and equipment/machine support; on/off desk

· The tool is still on a test server

· There are many options within this tool

o Information Entry tab (default setting)

-Category (type of question: ref, ref/tech, equip support, directional)

-Label (time: <5, 5-15, >15)

-Medium (email, chat, person)

-Notes field

-Submit button saves entry to server, but this entry can by edited

o Enter Old Transactions tab

-A person can enter transactions that had taken place earler

o Search option

-Can search through the past hour, or do an advanced search using other criteria

-Categories in the search results can be sorted

o Export function

-Can put things into the program of your choice (Word, Excel, etc)

-Can pick and choose what results to export

· Suggestion from PSEC:

o Consider making the Label (Time) options into radio buttons so it is faster and easier to fill out the form

2) Library support of faculty vis-à-vis their assigned course readings (with guest Peter Hirtle)

· Peter presented a memo with background information and questions for PSEC

1. The Counsel’s Office has indicated that we need to re-word our forms so that we ask more specific questions about the item being placed on reserve and any prior reserve use of the item

-PSEC suggested that Peter work with a small working group consisting of Jesse Koennecke, Carmen Blankinship, Joanne Leary, Xin Li, and Pat Schafer to make the necessary changes

-Highlight changes on the online form

2. Faculty members should be notified as soon as possible about these changes

-PSEC reviewed the letter Peter composed and made suggestions:

· Second paragraph should move to the top and should read something like: In response to the complaint from the AAP and subsequent discussions with the Counsel’s Office, the library has changed the reserve procedures beginning this fall. You will be asked explicitly…

· Add that it may take four to six weeks to receive copyright permission

· Letter should come from Sarah Thomas

· Bold key words, sentences, or new procedures on the letter

· Send this letter more than once throughout the summer to the faculty members

-A letter should be sent to the Deans and Chairs of the Colleges/Departments as a heads-up.

· Use the same letter that is being sent to faculty members

· This letter should be sent at least a couple days prior to the letter going to the faculty members

· Put a box at the top of the letter explaining that this letter will be sent to the faculty members in a few days, and if you have any questions or concerns, we (the librarians) are willing to meet with your department. Just visit your local unit library or send an email to copyright@cornell.edu

3. The current practices in regards to acquiring course packs should not be changed

4. Peter created a FAQ for Using Licensed Resources

-PSEC suggested to not include this in the letter this time, but have Camille Andrews from the Documentation Committee and Jesse Koennecke confer on it. Questions about the procedure should be referred to LIBGATEWAY-L, from which they could be forwarded to LIBIT-L

-The Instruction Committee and the Reference and Outreach Committee should discuss forming a webliography for faculty members

-Links from the reserves website to licensed articles are allowed—this is just a different way to get to the resource

5. How much involvement in copyright investigation is the library willing to get involved in?

-The library as a whole will not pay the copyright fees (it would be an estimated $300,000 per year for permission fees)

-Peter will talk to Jim Lawrence at the Campus Store about the library contracting this out to Jim and having the faculty pay for the service (similar to what the students do now)

· If Jim agrees, change the letter to reflect this

If Jim does not agree, the library will have to provide an alternate service and PSEC will discuss this if it happens
