Reference and Outreach Committee Meeting July 28, 2006 9:30 AM Olin 106 Agenda:
Minutes: Present: Ida Martinez, Jim Morris-Knower, Kornelia Tancheva (liaison), Jill Powell (recorder), Susette Newberry, Bronwen Bledsoe, Gaby Castro Gessner
New Member Update (Kornelia) Kornelia is the PSEC liaison to this committee. There are 3 openings on the committee, and she has asked the following people to consider joining: Bronwen Bledsoe, Angela Horne, and Thomas Mills. Bronwen attended this meeting to see if she was interested in joining. Continuing members are Virginia Cole, Jill Powell, and Jim Morris-Knower.
Reference Statistics Sampling (Gaby) The new reference statistics online form will be ready for testing August 2. Staff are asked to test the system and use paper forms at the same time.
Any problems with the system should be reported to librefstats-l@cornell.edu. Jill will create this list and forward problems to the programmer. All the committee members will be subscribed to the list in case another committee member takes on this responsibility. Paul Houle, who has worked with the student programmer, will be leaving at the end of August. Linda Miller will have administrator privileges.
August 14 – Public services staff are asked to take statistics using the online form. Paper statistics will be at the discretion of individual units.
Jill will send out reminders to cucd-l, cul-publicservices-l, and libit-l when the statistics form is ready.
Ida mentioned one change with the online system since when it was last demonstrated. If one wishes to enter in exact minutes, one has to choose “Actual Minutes” in a drop down menu AND enter them manually in a free text box.
Committee Structure and Procedures (Ida) Ida announced she is leaving Cornell August 18, so she briefed the committee on the structure and upcoming events.
Jim and Jill agreed to be co-chairs, but would like to consult with Virginia before this becomes formal.
The committee meets once a month for 1.5 hours in Olin 106. Jim will look at members’ schedules on Oracle (Angela and Thomas are not on Oracle). Virginia or Liane O’Brien can book the room.
Jim agreed to take over the Ref & Outreach website, which is on Commonspot.
Fairs and Service Events – there are items necessary for orientation fairs stored in Ida’s office. These include a CUL banner, library guides, table skirt, and pencils to give away. She would like to find a stand to hold the banner sign for the Barton fair. So far she has borrowed one from Rare. Susette will try to arrange the loan or look into purchasing another one.
There are 3 upcoming events this group is responsible for organizing:
Residential Advisor Program, August 15, 11 am –1 pm, Appel Commons. Needs 1-2 volunteers. Virginia (hopefully) will organize. Expect about 200 people.
Barton Hall Service Fair, August 18, 8 am – 4 pm - In the past there has been about 8 volunteers with 2-hour shifts. 2 librarians staff the desk at the same time; it is very busy. There are lunch and breakfast tickets for those working during the meal hours. Must set up the day before. Will need banner stand for this fair only. Suzette will organize. Expect several thousand attendees. The library van is available for transporting boxes of handouts.
New Graduate Students Fair, Sunday August 20, 4:30 – 6 pm (set up 4 pm), Statler Atrium. Jim and Virginia will organize. Expect about 500 students.
Aimee Potts has student employment applications.
Jim mentioned importance of asking all libraries for tour/orientation handouts to have a week beforehand. Jim will ask for info and perhaps make up one handout with this info. Most other types of handouts are not requested. Forum topics – the group discussed potential topics for upcoming Reference and Outreach forums. Outreach will be the focus of probably the next 2 forums, since there is much to discuss. The forums usually take place one week after the Ref & Outreach committee meets. | ||
